1Who we are

Cleveroo (“Cleveroo”, “we”, “us” or “our”) is a free online educational practice platform for Australian school students. We offer NAPLAN-style practice aimed at students in the Year 3, 5, 7 and 9 bands. We are based in New South Wales, Australia.

We handle personal information in accordance with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth). This policy applies to the Cleveroo website and learning app.

2What personal information we collect

We only collect what we need to run a useful practice tool. Depending on how you use Cleveroo, this can include:

Account details

• Name and email address used to create and secure an account.
• If you sign in with Google, the basic profile details Google shares with us (such as your name and email) to create your account.

Your learning profile (onboarding)

When setting up Cleveroo, we ask a few questions to personalise practice. This may include:

• Whether the account is being set up for yourself or for a child.
• The student’s first name and year level.
• A learning goal and the target exam being prepared for.
• Focus areas (the subjects or skills to concentrate on).
• A self-rated confidence level.
• Preferred practice cadence (how often you’d like to practise) and whether you opt in to practice reminders.

Practice activity and responses

• Test attempts, the answers you select, scores and progress over time.
• Typed or written responses you enter — for example, writing-task answers and spelling answers — so they can be graded and reviewed.

Payment and billing information

Cleveroo is offered as a free trial that converts to a paid subscription. When you subscribe:

• Your card details are collected and processed by a third-party payment processor (see service providers below), not stored by Cleveroo directly. We do not store your full card number.
• We keep limited billing records — for example, your plan, subscription status, billing dates, and the last four digits of your card — to manage your subscription, renewals and receipts.

Basic usage data

• Limited technical information needed to operate and secure the service, such as the pages you use and general device or session information.

3Email and lead-capture collection notice

When you enter your email address on a Cleveroo landing page (for example, to receive a free practice test or practice tips), we collect and record the following as a collection notice under the Privacy Act 1988 (Cth):

• Email address — used to send the requested resource and, with your consent, further practice tips and marketing emails from Cleveroo.
• Child's year level (if you supply it) — used to tailor the resources and recommendations we send you.
• Traffic source and UTM parameters (e.g. utm_source, utm_medium, utm_campaign) — recorded so we can understand which channels are reaching Australian families and measure the effectiveness of our marketing. These are technical parameters from the URL you arrived on and do not identify you personally.
• Consent record — the fact that you ticked the consent checkbox, the timestamp, and the exact wording of the consent statement are stored as proof of consent, consistent with the Spam Act 2003 (Cth).

Purpose: to deliver the free resource you requested; to send you practice tips and relevant educational content about Cleveroo (with your consent); and to communicate about our products and services. This is direct marketing under the Spam Act 2003 (Cth) and we will only send it where you have given express consent.

Account holder and children's data: when you submit this form on behalf of your child, you (the parent or guardian) are the account holder. We treat you as the consenting adult and we do not collect children's personal information through this form directly. Any year level or child details you provide are used solely to personalise the resources sent to you.

Retention: we keep lead records for as long as they are useful for the purposes described above. If you unsubscribe, your email is flagged as unsubscribed and we cease marketing emails; we may retain the record itself for compliance purposes.

How to stop receiving emails: every marketing email we send includes a one-click unsubscribe link. You can also visit /unsubscribe or email us at privacy@cleverooedu.com.au to be removed from our list.

4How we use your information

We use the information described above to:

• Provide the practice platform and keep your account secure.
• Personalise practice to the student’s year level, goals and focus areas.
• Grade responses — including automated grading of typed and written answers (see below).
• Recommend practice tests and suggest what to work on next.
• Send practice reminders, but only if you have opted in to them.
• Manage your free trial and subscription, process payments and renewals, and send billing-related messages such as receipts.

We do not use your information to make decisions that have legal or similarly significant effects on you. Cleveroo is a practice aid, not an official assessment.

6Children and parents

Cleveroo is designed to be used by children, often with a parent or guardian involved. An account may be created by a parent for their child, or by a student.

• We encourage parental involvement, and where a child is a minor we expect a parent or guardian to provide consent for, and help manage, the child’s use of Cleveroo.
• A parent or guardian may access, correct, or request deletion of their child’s personal information by contacting us.
• We collect only the information needed to provide practice to the student, and we do not use children’s information for advertising.

If you believe a child has provided us with personal information without appropriate parental involvement, please contact us and we will help.

7Service providers we rely on

We use a small number of trusted third-party providers to run Cleveroo. They process personal information on our behalf and only for the purposes we set:

• OpenAI — automated grading and AI processing of typed and written responses, and AI-generated practice content.
• Cloudinary — image hosting and delivery.
• Railway / PostgreSQL — cloud hosting and database storage for the application and its data.
• Payment processor (for example, Stripe) — secure processing of subscription payments and card details. Your card information is handled by the processor under its own terms; Cleveroo does not store your full card number.

We share with these providers only what is reasonably needed for them to perform their service.

8Overseas storage and processing

Some of the providers above may store or process information outside Australia, including in the United States. This means certain personal information — for example, written responses sent for AI grading, or data held by our hosting provider — may be processed overseas. Where this happens, we take reasonable steps to ensure the information continues to be handled consistently with the Australian Privacy Principles.

9We don’t sell your data and we don’t run ads

Cleveroo does not sell personal information, and we do not display third-party advertising on the platform. We do not share personal information with third parties for their own marketing.

We may disclose personal information where we are required or authorised to do so by law, or to protect the safety of our users.

10Cookies and essential storage

Cleveroo uses essential cookies and similar browser storage to keep you signed in and to maintain your session. These are needed for the service to work. We also use basic analytics to understand general usage and improve the platform. You can control cookies through your browser settings, but turning off essential cookies may stop parts of Cleveroo from working.

11How we protect your information

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including access controls, encrypted connections, and using reputable hosting and service providers. No online service can be completely secure, but we work to keep your information safe and to address any issues promptly.

12How long we keep it

We keep personal information for as long as it is needed to provide Cleveroo and to fulfil the purposes described in this policy — for example, to keep a student’s progress and practice history available. When information is no longer needed, we take reasonable steps to delete it or de-identify it, unless we are required to keep it by law. You can ask us to delete an account’s data at any time.

13Unsubscribing from marketing emails

Every marketing email Cleveroo sends includes a one-click unsubscribe link, as required by the Spam Act 2003 (Cth). Clicking it removes your address from our marketing list immediately.

You can also unsubscribe at any time by:

• Visiting /unsubscribe on this website.
• Emailing us at privacy@cleverooedu.com.au with “unsubscribe” in the subject line.

We will process your unsubscribe request within five business days. Transactional emails (such as account-related notices) are not affected by an unsubscribe request.

14Your rights: access, correction and deletion

You (or, for a child, their parent or guardian) can ask us to:

• Access the personal information we hold about you.
• Correct information that is inaccurate or out of date.
• Delete personal information or close an account.
• Opt out of practice reminders at any time.

To make a request, email us at privacy@cleverooedu.com.au. We may need to verify your identity before acting on a request, and we’ll respond within a reasonable time.

15Complaints

If you have a privacy concern, please contact us first so we can try to resolve it. If you are not satisfied with our response, you may make a complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

16Changes to this policy

We may update this Privacy Policy from time to time as Cleveroo evolves. When we make material changes, we’ll update the “Last updated” date at the top of this page. Your continued use of Cleveroo after an update means you accept the revised policy.
